Wedding Coordination

  • Upon Booking:

  • Delivery of Rising Fern's Preferred Vendor List

  • Delivery of our Wedding Resource Guide with wedding attire timeline, stationary guide, place setting rental guide, linen sizing chart, bar design, special song ideas, tipping suggestions, etc

  • Two Consulting Calls to answer any planning questions you have and help identify any holes in your plans (up to 1 hour/call)

  • 8 weeks prior to your wedding:

  • Unlimited communication via email and scheduled phone calls

  • Kick-off Call and gain access to your personalized Client Lounge, a comprehensive online tool to organize the remaining steps of planning including a thorough checklist of our coordination journey, guest list and seating chart templates, layout software, vendor profiles, timeline creator, helpful planning guides, and more!

  • Collect vendor contact information, contracts, menus, rental and floral orders, etc

  • Delivery of Vendor Questionnaire to get us up to speed with your plans

  • A final venue walk-through to confirm layout and event flow, available upon request

  • 30 days prior:

  • Planning Meeting (up to 3 hours, in-person or virtually) to finalize ceremony and reception floor plans, confirm your detailed timeline, ceremony processional order, and personal decor item list

  • 2-3 weeks prior:

  • Collect your final guest list and completed seating chart

  • Introduce ourselves to all vendors as their main point of contact and confirm set-up, break-down, and event details with team of vendors. We will share your floor plans and timeline with them to ensure we are all on the same page

  • Day before wedding:

  • Facilitation of ceremony rehearsal by planner or assistant with or without officiant (up to 1 hour)

  • On-site wedding day coordination (up to 10 hours) includes:

  • Check-in with vendors and oversee set-up (approximately 3 hours prior to guest arrival)

  • Set-up and break down of your personal decor items such as guestbook, card box, seating chart, favors, framed photos, signage, menus, cake topper, toasting glasses, etc

  • Assist with delivery of bouquets and pinning on boutonnieres and corsages

  • Line up, cue, and direct ceremony processional

  • Confirm wedding license is signed

  • Coordinate all reception details including introductions, special dances, toasts, cake cutting, grand departure, etc.

  • Be the "go-to" person for wedding party, family, guests, and vendors

  • Distribution of vendor final payments and gratuities

  • Ensure gifts, cards, and personal décor items are transferred to designated person at the end of the night

  • Use of planner’s wedding emergency kit (pins, hairspray, sewing kit, mints, stain remover, etc.)

    The Rising Fern Experience

    The Consulting Phase


    Upon booking, you will be sent a virtual Welcome Packet with a link to schedule your two Consulting Calls. These calls are a time for us to offer you our expert knowledge as you go about planning your wedding. We will also share our Wedding Resource Guide and Preferred Vendor List to help you with hiring your vendor dream team. If you decide to add on the Budget + Design package, we will begin by delivering a budget questionnaire to help us prepare a comprehensive budget and then move on to our favorite part, wedding design!

    The Event Management Phase


    Beginning 8 weeks prior to your wedding, you will have unlimited access to your Coordinator via email and scheduled phone calls. They will reach out to schedule a kick-off call to review your plans, the vendors you've hired, create an inital wedding day timeline, and schedule your 30 Day Planning Meeting!

    The Event Production Phase


    The big day is here! Your Coordinator will be there to direct your ceremony rehearsal and be present on your wedding day to ensure everything you've planned is going off without a hitch so you can fully enjoy all of the magical moments!
